Prime Power Fitness (“we”, “us”, “our”) respects your privacy. This policy explains what personal information we collect through www.primepower-fitness.com and when you order, request a quote or contact us, why we use it, who we share it with, how long we keep it, how we protect it and the rights you have. It applies to visitors to our website and to our customers in Canada.

1. Who we are

Prime Power Fitness is a seller of commercial-grade strength equipment based at 7250 Keele St, Unit 223, Concord, Ontario L4K 1Z8, Canada. We are responsible for the personal information described in this policy. You can reach us by email at contact@primepower-fitness.com or through our contact page.

2. Person in charge of the protection of personal information

In accordance with Québec’s Act respecting the protection of personal information in the private sector (as amended by Law 25), the owner of Prime Power Fitness is the person in charge of the protection of personal information. You can contact this person at contact@primepower-fitness.com with the subject line “Privacy” for any question, request or complaint about your personal information.

3. Personal information we collect

We collect only the information needed for the purposes described in this policy. Customers do not need to create an account to buy from us.

Orders

When you place an order: your name, email address, phone number (needed for freight delivery), company name (optional), delivery address in Canada, province, postal code, the items ordered, amounts, the shipping method chosen, and the history and status of your order.

Quote requests

When you request a quote: the same contact and delivery details, a description of your project and the items you are interested in.

Contact form and Pro access requests

When you write to us or request a Pro account: your name and/or company name, email address, phone number, the topic you select and your message.

Newsletter

When you subscribe (through the pop-up window or the blog form): your email address, language, where you subscribed, the consent text shown to you, the date of your consent, your IP address at sign-up, and an unsubscribe token. Your consent is express and recorded in accordance with Canada’s Anti-Spam Legislation (CASL). Every email includes a one-click unsubscribe link.

Product reviews and blog comments

When you post a review or a comment: your name, your email address (never published), your rating (reviews) and your text. Reviews and comments are published only after moderation. After delivery of an order, we may send you one email inviting you to review your purchase.

Payments

Online card payments are processed by Stripe. We never see or store your full card number. We receive the payment status and limited details such as the card brand and the last four digits. If you pay by invoice, we keep the payment information needed for our accounting records.

When you make a choice in our cookie banner, we record your choices, the date, a hashed (not raw) version of your IP address, your browser’s user agent and the region detected, so that we can demonstrate and respect your consent.

Technical logs

Our hosting infrastructure automatically records technical data such as IP addresses and requests made to the site, for security and to keep the service running.

Cookies and similar technologies

We use strictly necessary cookies and local storage, and, only with your consent, optional analytics and advertising tools. See section 13 and our Cookie Policy.

Customer and staff accounts

You can create a customer account. We then store your name, your email address, a hashed password and, if you add them, your phone number and delivery addresses, as well as whether you want to receive our news. If you choose to sign in with Google or Facebook, that service sends us your name, email address, profile photo and an account identifier; we never receive your password. Our staff also have accounts on the site’s administration area, for which we store a name, an email address and a hashed password.

Unfinished carts

When you enter your email address at the checkout step, we save the content of your cart with that address and, if entered, your name and phone number. If you do not complete your order, we may send you up to three reminders about that cart within the next 72 hours; each one contains a link to stop receiving them.

Where visits come from

To understand how visitors find us, we record for each visit, anonymously and without any IP address or identifier, the source of arrival (search engine, social network, advertising, email, partner site or artificial-intelligence assistant), the landing page, the language and the device type. When you place an order, request a quote or write to us, the source of your latest arrival on the site is attached to it.

Country detection

To display the site with Canadian prices and in the appropriate language, the country matching your IP address is determined on our own server using the GeoLite2 database. Your IP address is neither stored nor shared with any third party for this purpose. This site uses GeoLite2 data created by MaxMind, available from www.maxmind.com.

4. How we use your personal information

  • To process, deliver, invoice and follow up on your orders, including freight scheduling.
  • To prepare and send quotes, freight quotes and Pro or volume pricing.
  • To answer your questions and requests and provide customer service, including returns and warranty claims.
  • To process payments and prevent fraud, through our payment provider.
  • To send our newsletter and, after a delivery, one review invitation, where permitted.
  • To publish moderated reviews and comments.
  • To record and respect your cookie choices.
  • To secure the site, detect abuse (for example, through rate limiting on forms) and keep it running.
  • With your consent only, to measure site audience and performance and to show you relevant advertising.
  • To meet our legal, tax and accounting obligations and to establish or defend legal claims.

We do not use your personal information for purposes other than these without informing you and, where required, obtaining your consent. We do not make decisions based exclusively on automated processing that produce legal or similarly significant effects on you.

In Canada and Québec, we rely on your consent. Consent is express for the newsletter and for optional cookies; it may be implied where you provide information to obtain a service (for example, your address to receive a delivery). You may withdraw your consent at any time, subject to legal or contractual restrictions; we will explain the consequences, such as being unable to deliver an order.

6. Sharing with service providers

We do not sell your personal information. We share it only as needed with service providers that act on our behalf and are required to protect it:

  • OVHcloud — hosting of the website, database and email servers.
  • Stripe — online payment processing and fraud prevention. Where available, Stripe may offer payment options such as Apple Pay or Google Pay.
  • Freight carriers and parcel services — your name, phone number and delivery details, to deliver your order.
  • Analytics and advertising tools — Google Analytics 4 / Google Tag Manager, Meta Pixel and TikTok Pixel, only when enabled by us and only if you consent to the relevant cookie category.
  • Meta Platforms (Conversions API) — only if you accept advertising cookies: when you make a purchase, request a quote or create an account, we send Meta your email address, phone number, name and address in hashed form (an irreversible process), together with the Meta cookie identifiers, your IP address, your browser, and the amount and products involved, to measure how well our advertising works.
  • Google and Meta (account sign-in) — only if you choose to sign in with Google or Facebook: these services authenticate you and send us the information described in section 3.

We may also disclose personal information when required by law, for example to tax authorities or in response to a valid legal order.

7. Transfers outside Québec and Canada

Some of our service providers may store or process personal information outside Québec and Canada, for example in the United States or the European Union. Before communicating personal information outside Québec, we assess whether it will receive adequate protection, and we put contractual safeguards in place. Personal information held outside Canada may be accessible to the courts and authorities of those countries under their laws.

8. How long we keep your information

  • Orders, invoices and related payment records: 7 years, to meet tax and accounting obligations.
  • Quote requests, contact messages and Pro access requests: 3 years after our last contact with you.
  • Newsletter: until you unsubscribe. After that, we keep only your email address marked as unsubscribed, so that we can honour your choice.
  • Cookie consent records: 3 years.
  • Reviews and blog comments: as long as they are published. You may ask us to remove them.
  • Technical logs: for the limited period needed for security, then deleted.
  • Staff accounts: as long as the staff member’s access is active.
  • Customer accounts: for as long as your account exists. You can delete it at any time from the Profile page of your account.
  • Unfinished carts: 30 days after the last activity, then deleted.

At the end of these periods, we destroy the information or anonymize it.

9. Security

We use reasonable security measures suited to the sensitivity of the information, including HTTPS encryption of all pages, access restricted to authorized staff, hashed passwords, hashed IP addresses in consent records and rate limiting on forms. Card data is handled by Stripe and never stored on our servers. No method of transmission or storage is completely secure; if a confidentiality incident presents a risk of serious injury, we will notify the affected persons and the competent authorities as required by law.

10. Your rights

Depending on where you live, you have some or all of the following rights: to access your personal information, to have it corrected, to have it deleted, to receive it in a structured, commonly used technological format (portability), to withdraw your consent, and to restrict or object to certain uses.

Residents of Québec

You may access and correct your information, withdraw your consent, request portability, and ask us to stop disseminating your information or to de-index any hyperlink attached to your name where the law allows. We respond within 30 days. If you are not satisfied with our response, you may file a complaint with the Commission d’accès à l’information du Québec.

Residents of the rest of Canada

You may access and correct your information and withdraw your consent. If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada.

How to exercise your rights

Send your request to contact@primepower-fitness.com with the subject line “Privacy”, or through our contact page. We may ask you for information to verify your identity before acting on your request. Exercising your rights is free of charge, except where the law permits a reasonable fee for a manifestly excessive request.

11. Email communications

We send newsletters only to people who have given express consent. Order, delivery, quote and service emails are sent as needed to handle your request. You can unsubscribe from the newsletter at any time with the one-click link in each email or by writing to us.

Reminders about an unfinished cart are only sent after you have entered your email address at the checkout step, three at most, and you can stop them at any time with the link they contain.

12. Children

Our site and products are intended for adults and businesses. They are not directed at children under 16, and we do not knowingly collect their personal information. If you believe a child has provided us with personal information, contact us and we will delete it.

13. Cookies

Strictly necessary cookies and local storage are always active: they keep your cart, language, market setting, display preference and cookie choices, and secure the staff sign-in. Optional categories (functional preferences, analytics and performance, targeting and advertising) remain off until you accept them through the cookie banner or the “Cookie preferences” link in the footer. We use Google Consent Mode v2 and honour Global Privacy Control signals. Visitors in Québec are asked for opt-in consent, and the strictest regime applies when your region cannot be determined. You can change or withdraw your choices at any time. For the full list, read our Cookie Policy.

14. Changes to this policy

We may update this policy to reflect changes in our practices or in the law. The date at the top shows the latest version. If we make significant changes, we will inform you on the site and, where required, ask for your consent again.

15. Contact us

For any question about this policy or your personal information, write to the person in charge of the protection of personal information at contact@primepower-fitness.com (subject: “Privacy”) or use our contact page. Prime Power Fitness, 7250 Keele St, Unit 223, Concord, Ontario L4K 1Z8, Canada. Phone: +1 888-669-0607.

Payment with Affirm

If you choose Affirm (individuals in Canada), you are redirected to Affirm, which collects the information needed for the eligibility check and the loan under its own privacy policy. We send Affirm the order details (items, amounts, taxes, freight), your name, delivery address, email and phone; we receive back the transaction identifier and its status (approved, captured, cancelled, refunded). We receive neither your credit file nor the payment plan you choose.

Ambassador programme

Some athletes recommend our products as Prime Power Fitness ambassadors. When you arrive through an ambassador’s link or type their code at checkout, we record that visit (pages viewed, date, type of device, the channel where the link was shared) with a random identifier of your browser, and the content of your basket, so that the ambassador who recommended us is credited. Once you give your e-mail at checkout or place an order, your later orders stay credited to that ambassador.

The ambassador sees the number of visits of their links, and for baskets and orders credited to them: your first name, your city, the products and the amounts. They see your full name, e-mail and phone number only if you tick the box that allows it at checkout, so that they can help you with your purchase. That consent is optional, is never required to order, and you can withdraw it at any time by writing to us. Ambassadors may use those details only to help you with your purchase, and they have agreed not to share them or add them to any mailing list.

For ambassadors themselves, we keep the information given in their application (identity, contact details, social profiles, audience), the payout e-mail and the history of their commissions, for the time of the programme and then as long as tax and accounting rules require.

Visits recorded through ambassador links are kept for 25 months, and baskets that did not lead to an order for 12 months. If you withdraw your consent or delete your account, the ambassador no longer sees your contact details. For ambassadors, we also keep the payout details they give us (legal name, mailing address, GST/HST number if they have one) and the history of the decisions made on their account.
